A GST registration application does not always go through on the first attempt. The officer may send a query asking for clarification, or reject the application outright. In most cases the cause is a document problem that could have been caught before filing. This guide explains the common reasons and what to do next.
Query first, rejection later
When the officer is not satisfied with an application, the usual first step is a notice seeking clarification, in Form GST REG-03. You reply in Form GST REG-04 within the time stated in the notice, with an explanation and any fresh documents.
If no reply is filed in time, or the reply does not resolve the officer’s concern, the application can be rejected in Form GST REG-05. A rejection order states the reason, so read it carefully before reapplying.
The most common reasons
| Problem | What usually went wrong |
|---|---|
| Address proof mismatch | The address typed in the form differs from the electricity bill, rent agreement or ownership document |
| Unsigned or incomplete rent agreement | Missing signatures, missing witness details, or the agreement has expired |
| No consent letter | The premises belong to a family member or another person, but no consent letter with their ID was uploaded |
| Unclear uploads | Cropped, blurred or password-protected PDFs and photos |
| Wrong constitution or name | The business type or legal name does not match PAN records |
| Physical verification issues | The officer could not locate the premises, or there was no signboard or sign of business activity |
| Late or no reply to REG-03 | The clarification window was missed |
How to fix it before reapplying
- Read the rejection order. The reason given tells you exactly what to correct.
- Match every detail to the documents. House number, street, sector, pin code and landmark should be the same across the form and the proof.
- Use a current electricity bill or property tax receipt for the premises, and a signed rent agreement or consent letter where the premises are not owned.
- Upload clear, complete scans. Each page should be readable, in colour where possible, and within the portal’s size limits.
- Be ready for verification. Put up a board with the business name at the premises and keep the original documents available.
A fresh application is filed after a rejection; the rejected application cannot be edited.
When it is worth getting help
If your application has been rejected once, a second rejection costs more time. We review the rejection order and documents, correct the details, and file a fresh application with a covering explanation where useful. We also draft replies to REG-03 queries within the time allowed.
See our GST registration service for the full document checklist and process, or send your rejection order on WhatsApp for a review.
